After setting the filter options you can choose an output format.

In the CSV format the columns/fields are separated by certain separators. Also, the information is coded. Recommendable here is the semicolon as a separator and the Unicode (UTF-8) as coding. A CSV file can be opened with every text editor and Microsoft Excel (How to: Open a CSV file with Excel) and is one of the standard programs for transfering data to other programs.
We recommend using Ron's Editor as a text editor.
You can successfully take over the RTF formatting (bold/italic/colored lettering), too (only in the Standard, Professional and Ultimate Edition).
The Excel format (Professional and Ultimate Edition) is chosen when you want to export the data records into a Microsoft Excel table. To create a new Excel file for every instance tick Split Excel file. Otherwise there will be a separate work sheet in the Excel file for every instance. The export into an Excel file is not recommendable since the program doesn't always correctly copy the leading zeros from postal codes and phone numbers and doesn't always correctly take over the line breaks that are part of histories or notes. An Excel file can be opened with Microsoft Excel.
The XML format (only Professional and Ultimate Edition) is also available. An XML file can be opened with any Editor just like the CSV file and is one of the standard programs for transfering data to other programs, as well. Furthermore, you are able to take over the RTF formatting (bold/italic/colored lettering).
Finally we will show you how you can edit the instances.
