Hosting

 

After you have successfully installed the integration, you will find a new Act! tab on the menu bar when you open Outlook for the first time.

With this tab you can control the functions of the integration.

(If you can't click or open all functions, you don't have admin rights.Please contact your system administrator then).

 

 

This is divided into 3 sections:

 

- Create

- Append

- Settings

 

Below see each function detailed in each section individually.

 

 

Create contact

 

 

Creat contact

This menu allows you to get an Act! contact from an email received in Outlook.

This feature is useful when you receive an email from a person who is not in your database and you want to add them immediately.

 

Click on the email in your inbox so that it is highlighted. Then click on "Create contact".

The following screen will open where you fill in the contact's data and finally click "Create contact".

Create activity

This menu allows you to create new activities in Act! based on a received email.

For example, you can create an activity with one mouse click when you receive an email asking for a call from one of your Act! contacts.

 

The mouse click on the menu item will take you to the following window. Here you can add the type, start time, subject and much more as you are used to in Act!

After that you can click on "Create activity" and then you have created the activity.

Attach to contacts

Attach to contactsThrough this menu item you can attach emails to your Act! contacts.

If you receive an email from a contact that is not preserved in your Act! database, you can attach the email to another contact.

You do not need the function if you have already specified automated attaching in your settings.

 

Make sure you have clicked the email you want to attach in your inbox before clicking "Attach to Contact".

The following window will appear when you click "Attach to Contact".

Here you can search for the email, name, company or group and when you have found the person you want click on the person and then on "add selected". You can also add more people or delete the added ones. To finish click "OK".

Quick attach to contacts

Quick Attach to Contacts performs a similar function as the "Attach to Contact Menu". Here you attach several emails at the same time.

This is especially useful for customers who have decided against automatic attaching. For example, the function is highly recommended for several unread e-mails after a vacation. With "Quick attach to contacts" you can save time instead of attaching each email individually. This menu item goes through the selected emails and looks at the email addresses. When a matching Act! contact is found, it automatically attaches the email to the contact. Contacts with criteria that do not match are ignored. To use the feature, click the "Change Settings" menu item and then click "Attach Quickly".

Before confirming it, you need to set the Outlook synchronization configuration first.
